Job Description
Under the direction of the Director, AA/EO seeks an organized, flexible, detail oriented and self-reliant individual to perform the administrative functions of the office and serve as an expert, trainer and liaison to the campus community on matters of faculty, academic professional and administrative search and hiring processes and procedures, and affirmative action compliance and reporting. The successful candidate will also assist in the transition to a more automated application and applicant tracking process and participate in meetings and conferences pertinent to area of responsibility.
Administrative functions include such things as maintaining office databases of search, hiring, case progression and other information (including data input) running reports as needed, analyzing data, and writing narratives and executive summaries of relevant information, reviewing of administrative and operational functions, policies and procedures for efficiency and compliance, and drafting responses to outside inquires for review by Director and/or Associate Director.
Routine functions will include answering phones, greeting visitors to the office, processing travel and purchasing documentation, monitoring office account expenditures, maintaining and reconciling budgets (including advising and/or determining which expenditures are within the budget guidelines), prioritizing workload to meet work unit operations, evaluation and recommendation of operational changes to work unit to ensure effectiveness and compliance with University policies and regulations, and composing correspondence on own initiative. Additional duties include arranging interviews, meetings and conferences, making special arrangements as needed for individuals with disabilities to participate in commencement and other activities, supervising and delegating appropriately to the adminstrative assistant and student employees, and other duties as assigned.
Depending on the skill set of the successful candidate, the position duties may also include maintaining the AA/EO and Diversity websites and professional use of social media to advance the reputation of the university as a welcoming environment for minorities, women, individuals with disabilities, and veterans consistent with the university's affirmative action obligations and strategic goals relating to diversity.
Minimum Qualifications
Bachelor's deree AND one year of directly related administrative experience; OR,
Five years of directly related administrative experience; OR,
Any equivalent combination of experience, training and/or education.
Preferred Qualifications
Familiarity with NAU systems.
Familiarity with NAU faculty search process.
University experience.
Web design or website maintenance.
Familiarity with data management and reports.
Experience with Microsoft Publisher or similar publication software.
Experience with budget, P-card, purchasing, travel and accounting processes and procedures.
Knowledge Skills and Abilities
Knowledge of office and administrative practices and principles.
Experience with Microsoft Office and/or Legal Files.
Experience with PeopleSoft.
Experience with budget, P-card, purchasing, travel and accounting processes and procedures.
Attention to detail.

General Information
Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check.

Salary
$41,000 to $46,000, depending on experience
FLSA Status
Exempt.

Employees offered a position on or after July 20, 2011, will be eligible for state health plans (including NAU's BCBS Plan) after 90 days of employment. If you accept an offer on or after July 20, 2011, and you choose the ASRS retirement option, you will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 27 weeks (6 months) after your start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of employment. Additionally, the long-term disability plan that accompanies the ORP will begin on the first day of the pay period following 90 days after start date.
