The LEADS Center combines two campus departments to bring you the best in planning, mentoring, and cultural celebrations.
Inclusion and Multicultural Services (IMS) provides culturally-relevant services and support to historically underrepresented students.
Student Support Services (SSS) is funded in part by the U.S. Department of Education in order to increase college retention and graduation rates for eligible NAU students who are low-income, first generation, or have documented disabilities.

Special Information:
• Ability to work professionally and independently with a minimal amount of supervision, and to function smoothly in a fast-paced office environment with frequent interruptions.
• The work hours for this position are 8:00 am ¿ 5:00 pm, Monday through Friday; some evening and weekend hours are required. Summer hours for this position are 7:30am ¿ 4:30pm.
• A criminal and employment history background investigation will be performed prior to employment offer.
Job Description
The Administrative Specialist performs a variety of administrative support activities for the Student Support Services and Inclusion and Multicultural Services programs. This position reports to the Director of the Inclusion and Multicultural Services.
Internal/External Customer Service/Communication:
• Answer inquiries and compose correspondence on own initiative on general and technical matters in accordance with established guidelines and forwards other items to supervisor or appropriate staff.
• Screen phone calls and visitors, directing to appropriate staff or department when necessary; provide information requiring comprehensive knowledge and may interpret department policy, procedure and operations.
• Oversee office communications including, but not limited to preparation of the newsletter and other publications using publishing software, disseminating information to student participants, and updating the program websites.
Administrative Responsibilities:
• Provide leadership for LEADS Center operations.
• Assist new program participants with required paperwork; maintain student files, ensuring adherence to regulations, policy, and procedures.
• Plan and arrange events and meetings under general instructions from supervisor; communicate arrangements to appropriate individuals.
• Maintain calendar(s) for assigned staff, regularly prioritizing and arranging meetings, events, and appointments.
Budgetary/Fiscal Responsibilities:
• Make recommendations for general LEADS Center and program supply purchases.
Supervision of Student Workers:
• Implement appropriate and effective recruitment strategies, interview protocols and decisions regarding selection of staff.
• Demonstrate familiarity in basic tenets of supervision and application of supervision techniques.
• Provide supervision of student workers, including ongoing feedback and coaching, and annual evaluations.
• Hire, train, supervise, and evaluate student office workers; maintain student worker hiring forms, schedules and time sheets.
Other duties as assigned.
Minimum Qualifications
• Three years of office/clerical experience; OR,
• Any equivalent combination of education and experience.
Preferred Qualifications
• Ability to work cooperatively and maintain productive relationships with a diverse group of individuals including students, staff, departmental personnel and other university employees.
• Ability to create and maintain a supportive, welcoming reception area for students.
• Strong organizational skills, including attention to detail, prioritizing tasks, and multi-tasking.
• Ability to work professionally and independently with a minimal amount of supervision, and to function smoothly in a fast-paced office environment with frequent interruptions.
• Strong working knowledge of Microsoft Office and Outlook, internet, email, and LOUIE/PeopleSoft.
• Knowledge of NAU policies and procedures

General Information
This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.
Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.
