Job Description

Northern Arizona University seeks an experienced administrative professional to serve as Administrative Associate in the Office of the Vice Provost for Academic Affairs & Dean, University College.  Reporting directly to the Vice Provost & Dean, the successful candidate will assist with administration of divisional and college functions, programs, and coordinating administration of processes managed by the office, including academic program review and institutional accreditation.

Responsibilities:

Provides administrative support to the Vice Provost & Dean: manages calendar, maintains data and files, prepares files for daily meetings, assists with travel arrangements, plans/coordinates events, develops correspondence and other communications, responds to internal and public inquiries, assists with preparation of documents, presentations, and event planning.

Serves as liaison to administrators, faculty, staff, students, outside agencies, and the public by providing information, facilitating communication or resolving problems.

Supervises, monitors or coordinates the activity of student workers.

Prioritizes workload to meet unit operations.

Investigates, evaluates and resolves typical administrative/operational problems or situations impacting staff/faculty work unit.

Serves as liaison to faculty, staff, students, outside agencies and the public concerning information or complaints.

Participates in meetings and conferences pertinent to area of responsibility.

Coordinates administrative processes for Academic Program Review, including management of the academic program review and accreditation schedule, communication with deans, chairs/directors and other unit leaders, correspondence with external consultants, tracking progress of reviews, problem solving, maintains records and correspondence, and supports reporting to the Arizona Board of Regents.

Supports administrative processes for institutional accreditation with the Higher Learning Commission, including correspondence, management of documents and files, and university communications.

Manage Office of the Vice Provost & Dean accounts and expenditures; maintains and reconciles detailed budget reports; advises and/or determines which expenditures are within budget guidelines. Serves as purchasing card liaison for office and Vice Provost. Approves/authorizes expenditures or actions for administrative and operational needs, sometimes requiring higher level approval.

Provides administrative support for regular and ad hoc committees convened by Vice Provost & Dean.

Provides administrative support for the Director of Special Projects & Administration.

Creates a welcoming atmosphere for faculty, staff, students and visitors.

Maintains office supplies and equipment and other duties as assigned.

Minimum Qualifications

Bachelor's degree and one year related administrative experience; OR
Five years of related administrative experience; OR
Equivalent combination of education, training, and experience.

Skill in planning, analyzing, coordinating and prioritizing multiple activities/tasks.
Ability to display consistent, positive communication and service skills.
Ability to work independently and manage projects.
Knowledge and skill in general budgeting procedures.
Skill in organization and coordination.
Ability to synthesize information and prepare summary reports.
Ability to write formal correspondence, draft reports, and other documents.

Ability to contribute effectively in a team setting.

Salary

$32,826.00 - $36,400.00

FLSA Status

Exempt.
